The “vessel already on the water” pickup
Most yacht-charter transfers handle a single, simple case: vessel docked at marina, boarding window open, guest lands at LBJ, driver delivers guest to pier in time for boarding. Our yacht charter transfer page covers that scenario in full.
This page is about a different scenario. The vessel is not docked. The vessel is at sea. It departed Labuan Bajo two or three days ago for a Komodo loop, you are joining the charter mid-itinerary (a common pattern for couples flying separately, corporate-incentive late arrivals, or guests linking from a Bali shoot to a Komodo cruise), and the vessel is making a tender run back to a Labuan Bajo pier specifically to collect you.
The variables are now different. The yacht has a tender (typically a 30-foot speedboat or a RIB) that runs from the anchorage to the marina. The tender’s ETA depends on swell, anchorage location, fuel state and the charter’s broader plan. Your driver’s pickup-time at LBJ has to anchor not on a fixed schedule but on the tender’s actual arrival at the pier.
This is what “yacht pickup coordination” handles. We are the ground side of a three-way conversation between you, the captain, and our dispatcher.
How the coordination works
The booking opens a thread between four parties: you, our Labuan Bajo dispatcher, the yacht’s captain or operator, and the driver assigned to your transfer. The thread runs from 24 hours before your scheduled flight until you are physically on the tender.
24 hours pre-arrival. Captain confirms anchorage and tender-departure time to dispatcher. Dispatcher confirms your inbound flight number and scheduled landing.
4 hours pre-arrival. Dispatcher checks Flightradar24 for delay updates. Captain checks weather and tender-fuel state. Adjustments shared back to driver.
Wheels-down. Dispatcher confirms your landing on Flightradar24. Driver is in the arrivals hall with name board.
At the marina. If the tender is already at the pier, you board immediately. If the tender is still inbound, you wait at the marina cafe (we will tell you which one) and the driver stays with your luggage on the pier until the tender arrives.
Boarding the tender. Driver hands off luggage to the tender crew. We confirm to the captain via WhatsApp that you are on board. Booking complete.
This is more coordination than a standard hotel transfer needs. It is also the scenario we have the most repeat bookings on — the same corporate-incentive operators send us the same vessel-meet pattern every year.
Vessels we coordinate with
We have run yacht-pickup-coordination bookings for the following operators in the last 24 months. The list is not exhaustive, but it represents most of the high-end Labuan Bajo phinisi fleet:

Pricing — yacht pickup coordination
Pricing is based on the standard zone-based matrix, with one specific add-on for the tender-coordination workload:

Hiace upgrade for groups of 4+ with gear: $40 transfer + $15 coordination = $55.
Alphard upgrade for VIP coordination: $75 transfer + $15 coordination = $90.
The $15 coordination add-on covers the dispatcher’s pre-arrival thread, the driver’s marina-side wait time (up to 60 minutes free; thereafter $5 per additional 15 minutes), and the WhatsApp confirmation back to the captain. It is the smallest add-on we charge — and we charge it because the coordination is real labour, not because we have to.
For round-trip bookings (vessel deposits you back at the marina at the end of the charter and we drive you to the airport), the round-trip 10% discount applies on the transfer leg.
Timing risk — what happens if the tender is late
The most-asked question on this service is: “What if the tender is delayed?”
The honest answer: this happens. Swell on the Komodo straits can add 30-45 minutes to a tender run. We absorb that scenario inside the coordination workflow.
If the tender is delayed past your arrival at the marina, three things happen automatically:
1. The driver stays with your luggage. No exception. The driver does not leave the pier until the tender arrives or until the dispatcher releases them. Your bags are with our driver, not on a public pier with random porters.
2. We move you to a marina-side cafe. Marina Bayview has Mola Mola Cafe and the AYANA Komodo lounge for guests waiting. Bajo Marina has a small open-air cafe at the pier head. We tell you which one and order you a coffee while you wait.
3. Wait time is free for the first 60 minutes past tender-ETA. After 60 minutes, the marina-wait extension fee kicks in at $5 per additional 15 minutes — but in practice we very rarely charge it, because tender delays beyond an hour are unusual.
If the tender is so badly delayed that it cannot collect you the same day (extreme weather, mechanical issue), we will deliver you to a hotel of your choice for the night. The vessel side absorbs the cost of the unplanned overnight in most cases — this is part of the captain’s standard contingency planning.
Why book this through us instead of “letting the yacht handle it”
A common alternative is to book the yacht directly and let the operator arrange a generic taxi pickup. That works on paper. In practice it usually fails on one of three points:
Communication chain. A generic taxi service does not have a dispatcher running a real-time thread with the captain. When the tender is 25 minutes delayed, you find out by standing on a hot pier wondering where the boat is.
Tender-side luggage handling. Random taxi drivers do not stage luggage for a tender handoff. Our drivers do this routinely, and the tender crew knows them by name.
LBJ familiarity. A taxi dispatched by a yacht operator’s Bali office may not have driven LBJ-to-Marina-Bayview in years. Our drivers run that route multiple times a week.
We charge $15 for the coordination layer specifically because that is the part the marketplaces and the random-taxi alternative skip.
How to book yacht pickup coordination
Same booking flow as a standard transfer, but please include in the notes:
- Vessel name + operator (e.g. “Lamima Phinisi”, “Sequoia Yacht via Aman Komodo”)
- Captain’s WhatsApp number or operator’s ground-handler contact (we will use this to open the coordination thread)
- Scheduled tender pickup time (the captain’s best estimate as of your booking)
- Tender pickup location (Marina Bayview / Bajo Marina / Plataran Pier — confirm with captain)

Is this the same as the yacht charter transfer service?

The tender will wait. Captains routinely hold tender turnaround for known-delayed guests, especially when the booking has come through us — we coordinate the delay update directly with the captain side as soon as Flightradar24 shows the new ETA.

What if the vessel is anchored too far from Labuan Bajo for a same-day tender?
Some itineraries include a Komodo Village (Loh Liang) anchorage that is too far for a sane tender run. In those cases the yacht will reposition for your pickup. We coordinate the new pickup ETA accordingly.
