Discovery call (Day 1): We get on a 30-minute call with the planner. Number of guests, their inbound flights, the venue, the ceremony time, the rehearsal dinner location, the wedding morning timeline.
BOM draft (Day 2-3): We send a transparent BOM — vehicle count, hours per vehicle, driver count, decorations, contingency. Line by line.
Sign-off (Day 4-5): Planner reviews, marks up, signs.
14-day to wedding: We confirm flights via the bridal party’s PNRs (or guest list with names), assign drivers, source bridal Alphard decorations.
Arrivals day: Synchronized airport pickup across all incoming flights. Each guest gets a personal WhatsApp with their driver’s name and vehicle plate the day before they fly.
Wedding morning: Bridal Alphard arrives 90 minutes before ceremony at the bride’s room. Group fleet positioned at the resort lobby for guest movement.
Wedding day: Drivers in white collared shirts, vehicles washed at dawn. We hold a quiet shift change so the same driver who picked you up at LBJ does not also drive the bridal Alphard at 18:00 — fatigue management matters.
Departure runs: We handle outbound airport transfers across the 24-hour post-wedding window.

Vehicle recommendation

The bridal car should always be the Toyota Alphard — captain seats with ottoman, individual climate, ambient lighting, complimentary champagne kit (free for honeymoon and wedding bookings). The driver wears a white collared shirt and white driving gloves on request.

The group fleet should be Hiace dominant for guest movement — 10 captain seats per Hiace gives you maximum throughput per vehicle, and the captain seat layout is dignified for arriving wedding guests. Use Innova for chase vehicles handling crew, vendors, and last-minute baggage runs.

Why is the lead time 14 days?
A wedding transfer needs three things that take time: driver scheduling for a single weekend with no rotation conflict, BOM sign-off with the planner so nothing is a surprise on invoice day, and bridal Alphard decoration sourcing (the floral team needs 5 days lead time for white roses in this season). Inside 14 days we cannot guarantee the same standard. We will refer you to a partner operator instead.

Can you decorate the bridal car with our wedding theme?
Yes. Standard kit is white roses, eucalyptus, white ribbon. Custom themes (peony, orchid, garland) need 7 additional days lead time and a theme brief from the planner. We share the supplier WhatsApp directly so the planner can review the proposed arrangement before wedding day.

Do you coordinate with the resort wedding team at Plataran, Ta’aktana, or AYANA?
Yes. We have run multiple weddings at all three. The resort’s wedding planner gets the BOM, the timeline, and the driver list. We hold a 15-minute pre-wedding briefing with the resort’s transport coordinator the morning of.

What if a guest’s flight is delayed?
We track all flights from wheels-up. A delay of 90 min is logged automatically and the driver is updated. Beyond that we re-stage. The bridal party’s WhatsApp group gets a status note so the planner is not chasing information. No additional charge for delays under 2 hours.

Can you handle a sunset cruise rehearsal dinner?
Yes — it’s one of our most-coordinated wedding nights. We run guests from resort to Bajo Marina, wait while the cruise is offshore, and return after dock. See our cruise transfer service. How do you handle the bride’s morning preparation timeline?
The bridal Alphard arrives 90 minutes before ceremony at the bride’s room and waits. Driver does not enter — privacy is respected. Bridal kit (cold towels, water, mints, sewing kit) is in the cabin. The bride’s witnesses ride to the ceremony in a synchronized Hiace.

What about post-wedding airport runs?
We handle the 24-hour post-wedding outbound window with the same fleet. Each guest gets a personal WhatsApp with pickup time the day before. We sync to the resort’s checkout time so guests are not waiting in the lobby with bags.
