Initial brief (Day -21 to Day -10): Your event lead sends the agenda and guest manifest. We mark up the ground transport plan within 24 hours.
NDA option: If the event includes confidential matter (M&A, board meeting), we sign an NDA before viewing the manifest. Standard corporate template accepted.
BOM finalization: Vehicle count, driver days, on-call hours, contingency. Single PO from your procurement team.
Driver assignment (Day -7): Named drivers, vetted for English fluency and corporate event experience. We do not rotate drivers mid-event.
Single point of contact: One coordinator handles your account end-to-end. WhatsApp + email + corporate phone. 30-minute response SLA during the event window.
Synchronized airport pickup: Multi-flight arrival is dispatched as flights land. Each executive gets a personal WhatsApp with driver name and vehicle plate the day before they fly.

Vehicle recommendation

For executive principals (C-suite, board members, named guests), the Toyota Alphard is the default — captain seats with ottoman, individual climate, ambient lighting, Wi-Fi hotspot for in-transit calls, tinted windows for privacy. Drivers wear corporate-appropriate attire (collared shirts) and maintain a quiet cabin unless you initiate conversation.

For conference shuttle of 8–10 delegates per loop, the Toyota Hiace is the right call — 10 captain seats, professional ride quality, large enough to carry presentation materials and equipment cases.

For chase vehicles (event crew, AV team, late add-ons), the Toyota Innova handles 1–6 passengers economically.

Will you sign our NDA?
Yes. Send your standard corporate NDA template. We sign within 24 hours of receipt. We have signed NDAs for events involving M&A discussions, executive coaching off-sites, and pre-IPO investor meetings. Our drivers do not see meeting agendas — only logistical details (pickup time, location, vehicle assignment).

Can you handle company invoicing rather than per-trip card payment?
Yes. We invoice in USD or IDR depending on your preference, send within 5 business days of event end, and accept wire transfer or corporate card. Net-30 is standard. Net-15 or Net-45 negotiable on multi-event accounts.

Do you coordinate with the venue’s event team at Plataran, Ta’aktana, or AYANA?
Yes. We have run corporate events at all three. The resort’s event coordinator gets the BOM, the timeline, and the driver list. We hold a 15-minute pre-event briefing with the resort’s transport lead the morning of arrival day.

What if our CEO needs an ad-hoc vehicle at 22:00 for an unscheduled meeting?
That’s why we sell on-call SLA. The dedicated Alphard with named driver is on standby at the resort throughout your event, including overnight. Late-night surcharge ($8 between 00:00–04:30) is included in the on-call day rate, not added separately.

Can you handle our team-building day at Padar viewpoint or a Komodo NP entry session?
Yes. We coordinate the road transfer to Bajo Marina, the speedboat charter (we do not own boats but partner with the resort’s preferred operator), and the return. The Komodo NP 1,000-visitor-per-day quota means session timing is now critical — we book your slot synchronized with the boat departure.

Do you provide vehicle insurance documentation for our risk team?
Yes. We carry passenger liability insurance per Indonesian regulation. Documentation can be provided in PDF before the event, signed by our finance team. International liability extension is available for U.S. and EU corporate clients on request.

Will the same driver be assigned across all three days?
Yes for executive principals. The on-call Alphard driver does not rotate mid-event — fatigue management is balanced by a 6-hour overnight rest window during which a backup vehicle covers any need. For conference shuttle Hiace fleet, drivers rotate per shift but the lead driver remains the single point of accountability.

Do you handle confidentiality with the drivers themselves?
Yes. Our corporate event drivers sign internal confidentiality agreements covering passenger conversations, meeting locations, and any incidental information. They are not authorized to discuss your company or your event with anyone, including resort staff.
